Job Description

The Administrative Assistant II is responsible for administrative and clerical support for activities and functions related to the office of the Dean and the Social Behavioral and Administrative Department.
Reporting to the Dean of Curriculum, the Administrative assistant will be responsible for providing customer, administrative and clerical support for activities and functions related to the School of Pharmacy. Individual in this capacity will most often be the first point of contact for current students and other internal and external parties.

Job Duties

• Types memos, letters, and general correspondence
• Enters and updates information into the system and creates reports, including, but not limited to, course schedules, course reports etc.
• Assist in graduation audits
• Assist in interfacing with the registrar’s office and in filing student documents
• Assists in processing student registrations each semester
• Assist in compiling; editing and publishing course manuals and other documents
• Manages calendar and sets up appointments:
o Schedule and assist in coordinating meetings, appointments, events and other similar activities
• Schedules, prepares transcribes and distributes minutes for various meetings as assigned
• Responsible for creating, maintaining files and other records
• Responds to phone calls from students and other parties; fields calls appropriately
• Sorts and distributes reimbursement checks, packages and mail
• Assists with reimbursement of travel expenses
• Prepares and processes requisition for the office; follow up their processing and keeps tracks of all orders
• Orders supplies and keeps track of all orders
• Assist in proctoring; exam entry; grading as needed
• Creates forms, emails and memorandums as assigned
• Mails, copies, distributes requested documents as needed
• Posts and types flyer announcements; stocks various handouts for student and staff usage
• Meets and greets all visitors
• Interacts with different departments; Interacts with upper level personnel
• Liaisons between Deans, Directors, Advisors, Faculty and Students
• The Administrative Assistant will exercise proper judgment and maintain confidentiality in dealing with the personal information of applicants, students, and faculty.
• The Administrative Assistant will work to build and maintain a pleasant, trusting work environment and will display the characteristics of integrity, honesty, emotional maturity, ethics, and passion.
• Successfully performs other duties as assigned

Required Qualifications

• Bachelor’s Degree Preferred
• Must be able to multi-task and prioritize work
• Proficient communication and interpersonal skills
• Organizational and management skills
• Must be articulate and professional (demonstrated proficiency in writing, organization and editing)
