Job Description

The Administrative Assistant has varied responsibilities of staff management, admissions coordination and is an Administrative Assistant to the Director and Associate Director.

Job Duties

Staff Management
• Supervision of secretarial staff
• Maintenance of personnel information

Admissions Coordination
• Serving as secretary of Admissions Committee
• Coordinating initial student registration/orientation
• Maintenance of applicant records
• Statistical compilation/reporting

Administrative Duties
• Assists Program Director with general correspondence, surveys, funding applications, scheduling appointments, self study reports and the budget
• Maintain records regarding Staff, Faculty, Academic Progress, Curriculum and Advisory Committees
• Preparation of staff/faculty contracts/payroll
• Purchase and inventory of all office equipment/supplies
• Purchase of all instructional and laboratory (medical) supplies
• Responsible for petty cash account
• Liaison between Dean’s Office and PA Program regarding office policies
• Coordination/scheduling of various PA Program Committee meetings
• Assists Program Director in coordination and data collection for self study purposes
• Compiling information for Self-study

Required Qualifications

Education, Preparation, and Training
• Bachelor’s Degree
• 2 years experience with administrative work

• Requires ability to manage multiple and varied tasks with frequent high levels of urgency or sensitivity
• Must be able to work collaboratively and effectively with colleagues in a team environment
• Good interpersonal skills are required, both written and oral

Preferred Qualifications
Physical Demands

• Extensive Use of Computers
• Extensive time sitting and standing
• Ability to lift 5 lbs.
