Job Description

The Administrative Assistant is responsible for providing administrative support and to serve as an office manager to Office of Institutional Advancement.

Job Duties

•Managing Raiser’s Edge databases, creating queries and reports, including data entry and retrieval of fund raising data, create reports, entering new gifts and pledges, updating records, donor recognition, acknowledgments, and mass mail distributions
•Ensure that pledge and gift acknowledgments, receipts, tax substantiations and renewal letters are sent out and followed up in a timely manner
•Responsible for scheduling appointments and coordinating meetings internally and with donors and the general public
•Prepare Senior Director of Institutional Advancement and other leadership for meetings including materials and information
•Conduct occasional research through the Internet and other sources to gather information and data on donors, corporations and foundations
•Coordinate and responsible for logistics for special events
•Staffing for IA events and programs
•Prepare departmental correspondence
•Act as department office manager: inventory, supplies, fiscal
•Work with the IT department managing the department web page
•Work on direct marketing projects

Required Qualifications

Bachelor’s Degree
4 years experience

Preferred Qualifications

Raiser’s Edge experience

Physical Demands

•Extensive use of computers
•Extensive time sitting and standing
•Ability to lift 10 pounds
