Job Description

The Administrative Assistant is responsible for providing overall administrative support to the GSE Education and Special Education Programs located in Bay Shore.

Job Duties

Responsibilities include, but are not limited to, the following:

• Greets current and prospective students, in person or via phone and email
• Prepares files for new student applicants, checking to be certain all required documentation (regarding admissions, etc.) has been included
• Answers or directs, as needed, student inquiries regarding admission and course registration
• Performs administrative assistant duties, including: answering phones, filing, copying, faxing, and opening and distributing incoming mail
• Assists with general correspondence, memoranda, and applications
• Maintains office calendar and schedules student appointments
• Coordinates, as needed, with the offices of the Registrar, Bursar, Financial Aid, Office of Recruitment/Enrollment and Admissions
• Responsible for sending mass emails as needed
• Maintains departmental spreadsheets
• Assists in special events, such as open houses
• Prepares purchase orders and maintains inventory of office equipment and supplies; arranges for repair and maintenance of office equipment as needed

Required Qualifications

Education, Preparation, and Training

• Bachelor’s degree required
• Previous experience with general office administrative responsibilities and procedures

Strong interpersonal skills
Good communication skills, both oral and written
Proficiency in Microsoft Office Suite, including Word, Excel and PowerPoint
