Job Description

The administrative assistant for the Winthrop Extension Center works closely with the Academic Coordinator for the Winthrop Extension Center and helps orchestrate the academic phase of the Program.

Job Duties

Provides administrative support to the Academic Coordinator for Winthrop Extension Center, but not limited to the following:

• Coordinates with the Academic Coordinator in scheduling instructors for the academic year
• Communicating with instructors on date and time availability each semester
• Creating a monthly calendar for the students

Records Maintenance
• Student Files – academic, correspondence
• Learning Objective/Syllabi
• Test files – Exammaster ®

Bio/Sketch- Health Forms
• Collects updated health forms for the Academic Year
• Insures review by Medical Director
• Maintains files

Typing and Filing
• Correspondence
• Examinations
• Evaluations Forms
• Lecture Outlines
• Course Outlines/Syllabi
• Learning Objectives

Answer Telephones
• Responds to inquiries
• Records and delivers messages

• Posts outgoing mail
• Travels to Post Office when necessary

Proctoring of Didactic Exams

Site Evaluations
• Assists in development of schedule
• Photocopies material for distribution to students; such as examinations if necessary, room availability

Required Qualifications

Education, Preparation, and Training
High School Diploma/ Associates Degree or equivalent experience
Strong interpersonal skills
Well organized
Able to prioritize tasks

Computer Skills
Proficient knowledge of Microsoft Office

Travel between Bay Shore, Long Island and Winthrop University Hospital Campus in Mineola, Long Island, NY
