Job Description

The Student Support Coordinator is responsible for administrative and clerical support in the Occupational Therapy (OT) Department, both campuses, related to OT student recruitment, admissions, academic support and accommodations.

Job Duties

• Greeting and providing assistance to visitors and students
• Handling incoming calls and redirecting calls as necessary
• Maintaining a paper and electronic filing system for all recruitment, admissions, orientation, accommodations, and tutoring correspondence, records, and materials, including confidential materials and files.
• Assisting with completing word processing, data entry, copying and filing of program evaluation and administrative materials related to job duties.
• Taking and maintain minutes of faculty meetings related to admissions and as assigned.
• Handling requests from students, faculty, and guests; provide assistance and information or refer to others when beyond the scope of their job description.
• Assisting Chairperson/Director of OT with maintaining program statistics for record keeping and program evaluation related to admissions and graduation .
• Assisting with maintaining, filing, and updating of information related to admissions and accommodations required by accreditation, state registration, and other regulatory agencies per direction of the Chairperson/Director of OT.
• Assisting other occupational therapy and health sciences programs’ administrative and clerical support staff in the completion of time sensitive documents, projects and materials as needed.
• Functioning as liaison between the OT Department and the Office of Admissions .
• Assisting with OT Program recruitment events, including information sessions .
• Meeting and greeting potential applicants arriving for admissions interview .
• Developing and maintaining a departmental file on each applicant .
• Assisting the OT admission committee to establish applicant interview schedules
• Notifying applicants of interview appointment
• Initiating and overseeing annual revision and mailing of “welcome” letter and packet to incoming students.
• Assisting with preparation for orientation of incoming students
• Answering inquiry calls and forwarding to Office of Admission when appropriate
• Establishing and maintaining paper and electronic filing system for admissions documents, applicant and student records, including confidential materials and files
• Maintain data base of admission statistics in collaboration with the Office of
Admissions
• Maintaining program statistics for record keeping and program evaluation related to admissions.
• When requested, take and maintain minutes of faculty meetings related to admissions.
• Maintaining up to date paper and electronic files on approved OT student accommodations.
• Notifying OT instructors each semester of OT students with approved accommodations.
• Proctoring examinations for OT students with accommodations or other special needs.
• Organizing note taking, quite room reservations, or other OT student accommodations.
• Organizing and overseeing tutoring for OT students as approved by the Chairperson/Director of OT.
• Supporting OT Student organizations and the faculty advisors, including the Student Occupational Therapy Association (SOTA), and the honor societies (Alpha Pi, Alpha Eta)
• Updating, preparing and disseminating booklist to students each semester in accordance with OT Curriculum Committee procedures.
• Maintaining program statistics for record keeping and program evaluation related to student academic support and accommodations

Required Qualifications

Education, Preparation, and Training
• Bachelors or Masters Degree in areas pertaining to job requirements preferred; (High School or GED Diploma and a minimum of 15 years of related experience would be considered);
Skills
• Strong interpersonal skills

• Excellent organization and time management skills
• Ability to prioritize workload according to volume, urgency etc.
• Ability to input data, and work with computer software programs
• Familiarity with office equipment(phones, copiers, printers, scanners, fax machines)
• Ability to learn and utilize new software and computer programs
• Basic computation skills
Computer Skills
• Proficiency in Microsoft Office Suite including Word, Excel, Power Point, Outlook
Travel
• Travel to both campuses
