Job Description

This Administrative Assistant position is responsible for providing overall administrative support to the TESOL Program.

Job Duties

Responsibilities include, but are not limited to, the following:

• Greets current and prospective students, in person or by phone and email
• Answers student inquiries regarding admissions and registration; or, as needed, directs students to appropriate advisor; assists students with completion of various forms and documents in preparation for meeting with their academic advisors
• Prepares files for new student applicants, checking to be certain all required documentation (regarding admissions, etc.) has been included
• As needed, coordinates with the Registrar, Bursar, Financial Aid, and Admissions Offices or directs students to those offices for appropriate assistance
• Creates, maintains, and secures program and student files/records, ensuring all required documentation has been included
• Updates databases for students and faculty
• Performs a broad range of administrative duties, including: answering phones, filing, copying, opening and distributing incoming mail, and managing the TESOL Program Chair’s calendar
• Assists in special events, such as open houses
• Assists with preparing general correspondence, memoranda, flyers, and other documents as needed by the Program Chair
• Prepares requisitions for the office and tracks them to ensure no processing problems arise; maintains files for all requisitions and purchase orders

Required Qualifications

Education, Preparation, and Training
Bachelor’s Degree at a minimum

Strong interpersonal skills
Good communication skills, both oral and written
Well organized
Able to prioritize tasks
Computer Skills
Extensive expertise using Microsoft Word, Microsoft Excel and a solid familiarity with retrieving information from and other relevant sites on the internet
