Job Description

The Administrative Coordinator-Grades Coordinator, under the direction of the Associate Dean, Assistant Dean for Clinical Education and Department Manager, including a wide range of related administrative duties, collaborates with other student coordinators on team on all-staff projects. Work involves planning, organizing, administrative duties and data-entry input.

Job Duties

• The Grades Coordinator is responsible for processing 3rd and 4rd year grades
• Create and maintain students’ individual grade reports/electronic fax folders/hard copy folders
• Receive and process performance assessment forms for 3rd and 4th year students
• Calculate a grade; verify sites/preceptors/course numbers/dates and match with students’ rotation record in database program
• Post rotation grades on students’ grade reports/ ToutoOne and other programs as required
• Receive students rotations logs
• Tracking MedU, COMAT, COMBANK, E-Conferences, Callbacks scores/completion
• Verifying completion of Clinical Distinctions courses
• Audit grades and curriculum requirements of 3rd year students for promotion to 4th year
• Audit grades and curriculum requirements of 4th year students for approval for graduation
• Assists with Medical Student Performance Evaluation (MSPE) preparation
• Receiving and processing ADD/DROP forms
• Conduct an audit of 3rd and 4th year rotation grades
• Provides Preceptors with New Innovation user Guide
• Notify students of registration errors/discrepancies/deficiencies/missing evaluations
• Communication with rotation coordinators regarding students’ rotation schedules
• Correspondence with students/sites/preceptors via e-mail, fax, phone, walk-ins and postal service

Required Qualifications

• College degree is preferable, or two years of College and two years of appropriate work experience
• Organizational and time management skills with meticulous attention to detail
• Ability to take initiative and work creatively and independently
• Work experience that demonstrates a confident and professional work style, including respect for confidentiality and the ability to exercise good judgment in stressful circumstances
• Interpretation of department/college policies and procedures; assists with the development and implementation of new internal policies and procedures
• Ability to handle multiple tasks, work well under pressure, meet deadlines, detail-oriented assignments and be flexible with job assignments

• Strong organizational skills
• Ability to multi-task
• Ability to interpret a variety of instructions
• Ability to function with limited supervision and to prioritize and meet deadlines
• Strong computer skills (Word, Excel, PowerPoint, Calendar Program)
• Ability to learn “specialty/custom-designed” software programs; Highly proficient with website navigation skills
• Excellent verbal and written communication skills; customer service and interpersonal skills; ability to interact with administration, faculty, staff, and students
• Experienced with working with other people in stressful situations
