Job Description

The Administrative Coordinator reports directly to:
• The Clinical Education Department Manager
The Administrative Coordinator will work primarily with:
• Associate Dean of Clinical Education
• Assistant Dean of Faculty Development
• Regional Director of Medical Education and Clerkship Performance

He/she is required to work independently and to have considerable initiative; demonstrates resourcefulness, and problem solving skills in applying a detailed knowledge of the responsibilities and functions; expected to follow any requirements regarding work and attendance as established by University rules, Department policies and procedures.
Work involves planning, organizing, administrative duties and data-entry input including a wide range of related administrative duties; collaborates with other student coordinators on team on all-staff projects.

Job Duties

This Position Description is intended to be an outline of the primary responsibilities for this position and may not encompass all of the duties that an individual employee may be asked to perform. • Communicate with core rotation sites to assess needs and provide support at minimum twice a month.
• Coordinates site visits to the core rotation sites.
• Help develop site visit agendas and documentation.
• Help develop student feedback forms.
• Offer and coordinate faculty development sessions to the core rotation sites for clinical faculty.
• Work with the OMM department to schedule faculty development sessions for the clinical faculty and didactics for students at the core sites.
• Maintains data base of all core site and affiliated site records in living document

• Maintain a list of affiliated preceptors within each geographical area regardless of hospital affiliations.
• Maintain historical records of any previous affiliations or negotiations with hospitals, providers, and other training or proposed training sites.
• Send periodic newsletter to all providers and site coordinators.
• Send out a thank you note to each preceptor on a regular basis annually.
• Send out holiday greetings to all preceptors at appropriate times.
• Send out a graduation invitation to all preceptors active with the college.
• Notify all preceptors of on campus CME opportunities.
• Participate and help facilitate surveys of training sites to obtain needed data for COM purposes, research, and/or ongoing site planning/development.
• Help with planning and implementation of “call backs”
• Maintain the Faculty Development section of the ClinShare folder: update the Faculty Development spreadsheet.
• Some travel to core clinical rotations sites will occur periodically
• Work with the Assistant Dean of Clinical Faculty Development on Annual Faculty Development Symposium organization
• Make travel arrangements; process Travel Requisitions, travel and rotation reimbursements in Banner
• Responsible for yearly Clinical Rotation Manual Update

Required Qualifications

QUALIFICATIONS:

• Bachelor’s Degree preferred, minimum two years study at an accredited College/University
• Excellent communication and organizational skills with ability to establish rapport and work with administrative staff, hospital administrators and physicians.
• Ability to work with Microsoft Office with working knowledge of Outlook, Excel and Microsoft word.
• Must have excellent writing skills
• Must own and maintain an automobile for use to visit sites periodically.

• Experienced with working with other people in stressful situations
