Job Description

The Administrative Assistant is responsible for providing administrative support to the Director and Clinical Director of the program and assist in all activities.

Job Duties

1. Assume responsibility to assist Director with administrative detail needed in conducting in management of graduate program with clinical component. This includes writing and follow up of letter and memos as directed by Program Chair.

2. Compose and distribute letters, memos, emails pertaining to department needs

3. Preparing Appointment forms, expense reports for faculty and staff

4. Maintain student records, follow up on inquiries re: paperwork for student credentials

5. Updating information regarding students, faculty, staff

6. Maintaining departmental and student records and files including confidentiality of official records.

7. Maintain contact with other departments and Dean’s offices regarding administrative and academic requests

8. Completion of department forms: P.O.’s for travel, office supplies, tests, furniture and general office-related items
9. Track and maintain via ordering inventory of office supplies, copy center, etc.

10. Sort correspondence and route to appropriate faculty and staff; respond to
correspondence as appropriate.

11. Respond to calls and other inquiries regarding Program and Clinic information

12. Organize class room assignments; make copies of materials for classes at faculty request; organization, copying, distribution of special projects including Comprehensive Examinations.

13. Arranging for visitors, refreshments for special events, including guest lectures and Orientation for new students

14. Maintain contact and follow-up with Maintenance Department regarding repairs, inspections, etc.

15. Contact various agencies, departments, etc. regarding equipment, licensure, etc.

16. Provide coverage for Speech and Hearing Center 2 nights per week + alternate Sundays

17. Collect payment from clients in Speech and Hearing Center; deliver checks from clients and third-party payers to Bursar alternating with Clinic Administrative Assistant.

18. Complete special projects relating to the Department at the request of the Program Director

Required Qualifications

Some college, extensive office experience

Strong analytical skills.
Requires ability to manage multiple and varied tasks with frequent high levels of urgency or sensitivity
Must be able to work collaboratively and effectively with colleagues in a team environment.
Must be a polished presenter
Strong interpersonal skills are required, both written and oral, as well as a high level of sophistication and maturity in social and professional settings

Computer Skills
Proficiency in Microsoft Office Suite including Word, Excel, Power Point, Outlook
