Job Description

The Central Scheduler will help create a culture of effective and dependable centralized services. This position is responsible for the coordination, scheduling, maintenance, reporting and administration of the university’s room reservation and event management system (EMS). The Scheduler will support academic room reservations as well as meeting and event requests from members of the TUN community and outside entities under the direct supervision of the Provost’s Office. The Scheduler also serves as the main point of contact for all guests to the Executive Office Suite responsible for answering all phone calls in a polite and professional manner, directing all calls and visitor to the appropriate person, and scheduling the use of the Executive Conference room. This position serves as primary relief for main university reception.

Job Duties

1. Manage room reservations and space utilization reporting
2. Coordinate the scheduling of academic courses using a state of the art reservation management and electronic calendar software system (EMS).
3. Interact on a consistent basis with university stakeholders
4. Provider guidance and collaborate with classroom schedulers, department chairs, and Deans regarding space utilization best practices and procedures.
5. Work with the Registrar’s Office through the academic course scheduling process to create a timeline for completion, gathering of course information, and correspondence of updates to sections of the master schedule once posted and class registration begins.
6. Proper coding and assignment of courses uploaded into the EMS system for placement in appropriate categories and feeding the schedule of classes to Master Calendar.
7. Works with the University Information Technology department in the development of data feeds for academic course scheduling and upload into the event management system (EMS).
8. Analyzes classroom needs to maximize space utilization
9. Resolves classroom placement requests, disputes, and conflicts.
10. Act as the first point of contact for inquires and requests for assistance from users of the scheduling and space management system software
11. Assists with University’s event management system by responding to inquiries and coordinating with other support areas to resolve problems when necessary.
12. Provide oversight to the management of the electronic scheduling mailbox; manage (individual and broad scale) correspondence to University constituents regarding the scheduling of classes.
13. Create and manage reports of utilization of space as requested by the CEO, Provost, or Dean in a timely and reliable manner by managing and administering the Universities event management database.
14. Provides course scheduling reports to the academic departments as requested.
15. Coordinates scheduling processes for all academic departments to ensure appropriate and equitable access for all constituents.
16. Serves as system administrator by managing access clearance levels for users and testing functionality of updates to the event management system.
17. Perform general office duties including answering the telephone, taking and delivering messages, copying and dissemination of materials, filing, preparation of standard office forms as related to travel and purchasing.
18. Receive, sort, and distribute mail.
19. Order and stock supplies and equipment.
20. Operate office equipment including but not limited to computer, copier, facsimile, printer, and calculator.
21. Prepare for meetings, transcribe minutes, and distribute minute.
22. Establish and maintain recordkeeping systems.
23. Ordering and maintaining office supplies and equipment.
24. Answer a multi-line phone system and deliver accurate, timely messages.
25. Welcome and assist all visitors and direct them appropriately, ensuring that all visitors are accompanied by a Touro University Nevada employee.
26. Scheduling the use of the Executive Conference room through the University Event Management System (EMS).
27. Other duties may be assigned.

Required Qualifications

• High School Diploma or GED and/or relevant work experience

• Three (3) years experience managing room reservations and space utilization reporting in a large, complex organization; Experience with EMS Software, including Room Reservation System and Master Calendar preferred.
• Demonstrated experience with utilization of systems and databases; Experience with Banner (Ellucian) ERP system preferred.
• Demonstrated experience in data analysis and reporting
• Familiarity with Americans with Disabilities Act (ADA) preferred.
• Familiarity with U.S. Department of Education’s Postsecondary Education Facilities Inventory and Classification Manual (FICM) standards preferred.

Physical Demands

Physical Requirements/Working Conditions
• This position requires the individual to work in a variety of settings including office, classroom training environment and campus academic division/department offices
• This is a typical office environment with long periods of sitting working at a PC and occasionally required to stand, walk, bend and reach.
• Ability to lift and move up to 10 lbs.

Special Conditions for Eligibility

TUN will be accepting internal candidates only from September 5th through September 11th; both internal and external candidates will be considered beginning September 12th until the position is filled.
