Job Description

The Administrative Assistant is responsible for administrative and clerical activities of the Office of the Registrar and Office of Student Involvement. The Administrative Assistant is also responsible for providing administrative assistance within the Division of Student Affairs and the student affairs front desk. The Administrative Assistant works closely with other areas of the University to ensure seamless and inclusive service to all that visit or seek the services of the Office of the Registrar and the Office of Student Involvement. The successful candidate must also demonstrate the University’s core values of social justice, intellectual pursuit, and service to humanity through their work.

Job Duties

1. Perform general office and reception duties including answering the telephone, taking and delivering messages, copying and dissemination of materials, filing, imaging documents and indexing electronic files, and preparation of standard office forms
2. Receive, sort, and distribute mail
3. Order and maintain office supplies and equipment
4. Operate office equipment including but not limited to computer, copier, fax, printer, and calculator
5. Process purchase requisitions and assist with tracking budget expenditures
6. Assist with travel arrangements, travel reimbursements and other documents in a timely and accurate fashion
7. Prepare for meetings, take meeting notes, transcribe minutes, and distribute minutes
8. Schedule room reservations
9. Compose and edit correspondence
10. Establish and maintain recordkeeping systems
11. Support and contribute to an inclusive environment for students, faculty, and staff (e.g., race/ethnicity, sexual orientation, class, age, religion, nationality, ability, and other identities)
12. Assist with maintaining and organizing the Student Affairs workroom and warehouse inventory
13. Circulate timely and sensitive Office of the Registrar forms, such as change of status forms, petitions, and Veterans Affairs certification forms
14. Assist with the data entry of student immunization records
15. Develop knowledge of and ability to navigate the University’s Student Information System, as appropriate
16. Process and mail academic transcript orders and student verification requests
17. Preparation of graduation audit packets including printing of board scores
18. Process and mail diploma orders
19. Assist the Division with creating advertisements for student events and programs
20. Assist with set up and tear down of all sizes and types of student events and programs
21. Assist with recruiting volunteers for student events and programs
22. As needed, provide supervision for federal work study students
23. Other duties to be assigned as necessary

Required Qualifications

• High School Diploma or GED

• Microsoft Office experience required
• Three years office/clerical administration experience required
• Higher education experience preferred
• Intermediate computer skills which entails word-processing, spreadsheet, database, presentation and calendar software programs
• Knowledge of and/or experience in working with people of diverse and differing backgrounds

Physical Demands

• This position requires the individual to work in a variety of settings including office, classroom training environment and campus academic division/department offices
• This is a typical office environment with long periods of sitting working at a PC and occasionally required to stand, walk, bend and reach.
• Ability to lift and move up to 10 lbs.

Special Conditions for Eligibility

Only internal applicants will be considered beginning September 5th through September 11th. Both internal and external applicants will be considered beginning September 12th until the position is filled.
