Job Description

The Administrative Coordinator reports directly to:
• The Clinical Education Department Manager
The Administrative Coordinator will work primarily with:
• Associate Dean of Clinical Education
• Assistant Dean of Clinical Education
• Director of Clinical Curriculum and Courses
• Director of Distance Learning
• Assistant Dean of Clinical Integration

He/she is required to work independently and to have considerable initiative; demonstrates resourcefulness, and problem solving skills in applying a detailed knowledge of the responsibilities and functions; expected to follow any requirements regarding work and attendance as established by University rules, Department policies and procedures.
Work involves planning, organizing, administrative duties and data-entry input including a wide range of related administrative duties; collaborates with other student coordinators on team on all-staff projects.

Job Duties

• Communications: re curricular content and assignment completion
• Monitor Blackboard assignments
• Develop evaluation material
• Administrative support in programmatic outcomes evaluation
• Support clinical education research and scholarly activity including review and editing
• Maintenance, editing and formatting clinical education written material
• Maintenance of Clinical Education Webpages and BB resources
• Scheduling and communications with faculty and students regarding E-conferences
• Maintenance of E-conference calendar and record of attendance
• Supporting E-conference room set-up and tear-down in collaboration with IT
• Administrative assistance with development and dissemination of distance learning materials including videos, audio and written work
• Administrative assistance with student and site communication for early clinical experience
• Administrative support for OSCE development and review including faculty and student communication and written materials
• Administrative support for ultrasound simulation scheduling
• Coordinating with other administrative assistants within the CED, OMM, PCD and BS department for grading and tracking activities
• Tracking of Clinical Distinction forms and communication with students regarding Clinical Distinction requirements
• Recording outcome data for Clinical Distinction and other curricular components
• General administrative tasks for curriculum and faculty development sessions examples: photo-copying, meeting scheduling, room reservations, submission of forms
• Interface with IT staff. at TUCOM, BlackBoard, True-learn, Med-U and NBOME re student and faculty enrollment and technical issues
• Orientation to, and distribution of curricular content to select faculty as requested
• Help with planning and implementation of “Orientation to Clinical Clerkship”
• Make travel arrangements; process Travel Requisitions

Required Qualifications

QUALIFICATIONS:

• Bachelor’s Degree preferred, minimum two years study at an accredited College/University
• Excellent communication and organizational skills with ability to establish rapport and work with administrative staff, hospital administrators and physicians.
• Ability to work with Microsoft Office with working knowledge of Outlook, Excel and Microsoft word.
• Must have excellent writing skills
• Must own and maintain an automobile for use to visit sites periodically.
