Job Description

The Front Office Specialist is responsible for the day-to-day operations of the front office, including check in, check out, scheduling and referrals. The Front Office Specialist is responsible for coordinating patient greeting and registration, as well as patient check out and payment. This individual schedules appointments and answers and directs incoming phone calls. The Front Office Specialist updates and maintains patient demographic information.

Job Duties

1. Professionally and courteously greet patients.
1.1. Manage appointment arrivals, no-shows and cancellations using the electronic medical record/practice management system.
1.2. Organizing and maintaining bumped schedules.
1.3. Ensures data entry is completed efficiently and correctly in the electronic medical record/practice management system.
1.4. Obtain patients insurance eligibility and verification and be able to communicate the findings with the patient.

2. Communicating with patients, general practitioners, health care professionals, and patient’s family members in a compassionate and kind manner.
2.1. Answering telephone calls in a professional and courteous manner within minimum rings and directs them appropriately.
2.2. Processing co-pays, account payments and providing receipt of money, and undertaking any banking procedures.
2.3. Scheduling appointments for patients in accordance with established procedures.

3. Sort mail, distribute properly and scan necessary information into electronic medical record/practice management system.
3.1. Assists Clinic Administrator with revenue cycle duties.
3.2. Monitors patient flow and alerts patients and doctors of delays.
3.3. Assists in maintaining a neat, clean and orderly appearance in the lobby throughout the day.
3.4. Respect and maintain the privacy and dignity of patients, assure patient confidentiality at all times according to HIPAA standards.
3.5. Maintaining office supplies and forms necessary to carry out front desk activities.

4. Other duties may be assigned.

Required Qualifications

Education:
Bachelor’s Degree in Business Administration and/or Education Preferred
High School Diploma or G.E.D Required.

Experience:
Two (2) years receptionist experience in a medical office environment

Preferred Qualifications

Skills & Abilities:
Strong verbal communication skills
Strong sense of customer service
Ability to interpret and read documents such as safety rules, operating and maintenance instructions, and procedural manuals.
Ability to calculate and apply basic math concepts such as discounts, interest, and percentages.
Ability to problem solve.
Knowledge of operating various types of office machinery (i.e., faxes, typewriters, copier, etc.)
Knowledge of Microsoft Office.
Experience with electronic medical records preferred.
Good organizational skills

Physical Demands

This position requires the individual to work in a variety of settings including health center offices.
This is a typical healthcare/office environment with long periods of sitting and standing, working at a PC and requires the ability to stand, walk, bend and reach.
Ability to lift and move up to 10 lbs.
