Job Description

The individual in this position is responsible for managing the event services operations for the TUC campus for events both on and off campus. This position will serve as lead for all complex, large-scale events including responsibility for financial event management.

Job Duties

• Oversees booking events, client menu selection, costing out menu selections for clients, coordination of staff and equipment rental, management of event teams and/or production consultants to produce high-quality, multi-faceted events
• Coordinates event planning and execution with requesting parties managing a variety of special events, from set up to clean up, for both on and off campus venus
• Establish and maintain relationships with internal and external University partners
• Completes a weekly catering staff schedule to ensure adequate coverage to meet special events needs as well monitoring labor costs
• Recommend and schedule events into appropriate off-campus and on-campus venues
• Oversee event registration logistics and strategies
• Hire and oversee support staff, students, and contingent event staff
• Ensures proper set up of events per the client’s request while maintaining an effective, efficient, and economical operation
• Regularly inventories supplies (décor, alcohol, linen, paper, equipment, etc) for monthly reports
• Provides managerial presence and oversees activities
• Devises decorative schemes for food and beverage presentations
• Actively encourages creativity among staff and strives to provide a varied style of presentation that is both tasteful and appropriate for the event and attendees
• Timely process of accurate billing upon event’s completion
• Communicates daily with departmental or external event planners to obtain necessary event information to both accurately adjust existing catering schedules and forecast upcoming schedules
• Act as department representative at cross-departmental event planning meetings in a friendly and professional manner
• Work cross-departmentally to prepare and manage complex event budgets
• Performs other duties as assigned

• Superior event management skills, managing multiple events concurrently
• Ability to create event plans, schedules, monitor the progress of each event, managing event teams and contingent labor to deliver the highest quality event
• Demonstrated experience with financial management of complex event budgets requiring excellent analytical skills
• Extreme attention to detail and deadlines with the ability to prioritize and manage complex workflows
• Excellent communication, time management, customer service and organizational skills
• Ability to accomplish goals working through formal and informal channels, with diplomacy and tactfulness
• Demonstrated high level of confidence in making strategic decisions, good judgement, and innovative and creative problem solving skills.
• Fosters a positive, enthusiastic attitude for service staff that is customer-focused. Actively seeks client’s opinions about food and service. Acts promptly and in a helpful manner when dealing with customer questions or concerns, including responding to both written and verbal comments in a courteous and professional manner.

Required Qualifications


• College degree is preferred. Bachelor of Science in hotel/restaurant management is desirable.
• Five years of relevant experience or a combination of practical food service industry experience and education will be considered as an alternative with a mixture of both event planning and management
• Maintains certification in ServSafe for safe service of food and alcohol
• Ability to operate standard office equipment (computer, printers, photocopiers, fax, scanner, etc.).
• Knowledge and proficiency in the use of Microsoft Office applications (Word, Excel, PowerPoint) and in basic web-page construction and management.
• Experience utilizing common communication technologies and services (email (Outlook), including voicemail, phone and etc.).
• Must possess a valid driver license
• Must be eligible to work in the United States.
• Must agree to background and credit check

• Keeps Executive Chef, Chef de Cuisine, and the Food & Beverage Manager promptly and fully informed of all issues (i.e. problems, unusual matters of significance and positive events) and takes prompt corrective action where necessary or suggests alternative courses of action.
• Completes job responsibilities and performance objectives in a timely and effective manner and in accordance with the University’s policies and procedures.
• Maintains a favorable working relationship with all University employees to foster and promote a cooperative and harmonious working climate which will be conducive to maximum employee morale, productivity, and efficiency/effectiveness
• Excellent verbal and written communication and interpersonal skills and ability to work with diverse populations and personalities.
• Strong problem solving and organizational skills including, managing multiple assignments, prioritizing tasks, setting deadlines, and initiating and completing projects on schedule without close supervision.

Working Conditions
• The schedule for this position is event driven and will include days, evenings and weekends
• Frequently standing, walking, sitting to perform desk-based computer tasks and telephone usage
• Occasional kneel/crawl, twist, bend, stoop, squat, grasp lightly, find manipulation, grasp forcefully, lift, carry, push, pull objects that weigh between 21-40 pounds.

Physical Demands

No: climbing, balancing, lifting up to or more than 100 pounds or working in the following environments: wet, humid conditions (non-weather), working near moving mechanical parts, working in high, precarious places, fumes or airborne particles, toxic or caustic chemicals, outdoor weather conditions, extreme cold (non-weather), extreme heat (non-weather), risk of electric shock, working with explosives, risk of radiation, vibration or needle sticks/blood borne pathogens.

Up to 1/3 of the time: stooping, kneeling, crouching or crawling, lifting up to 35 or 50 pounds.

1/3 to 2/3 of the time: standing, walking, reaching with hands or arms, keying.

2/3 or more of the time: sitting, talking, hearing, using hands to finger handle, feel or write, sight, and lifting up to 10 pounds.
