Job Description

The Receptionist is responsible for answering all phone calls in a polite and professional manner; is responsible for directing calls to the appropriate person/department and greeting visitors.

Job Duties


1. Answer multi-line phone system and transmit accurate messages in a timely manner
1.1. Transfer calls and answer questions
2. Welcome and assist all visitors.
2.1. Ensure that visitors sign in and are assigned the appropriate badge by title;
alumni, contractors, faculty, adjunct or students
2.2. Notify person/department so that visitors can be escorted. If someone is not
available from the department then Security will accompany visitor. Visitors are not to
proceed on their own.

3. Process all incoming and outgoing mail
3.1. Maintain a log for all outgoing UPS mail; track UPS mail when necessary
3.2. Immediately notify faculty/staff of delivered overnight/urgent mail.
3.3. Verify and process all UPS invoices
3.4. When requested assist with room reservations through EMS (Room Reservation System)
3.5. Maintain and order supplies as needed

4. Maintain reception area to ensure professional image at all times
4.1. Ensure that Brochure Racks in the reception area are full at all times.

5. Process Subpoenas to appropriate personnel. Subpoenas can only be signed for by the Director of HR, VP for Administration, or if relating to a student issue, by the Registrar. The receptionist is NOT authorized to sign for or accept any legal documents.

6. Other duties may be assigned.

Required Qualifications


Associates Degree in Business Administration or Education /and or relevant work experience


1 to 2 years of relevant work experience.
