Job Description

Full-Time Administrative Assistant, under the supervision of the Program Director, has the responsibilities for the management and evaluation of the program’s academic and admissions components.

Job Duties

Scheduling and coordinating
• Coordinates with the Admissions Coordinator in scheduling interviews for prospective students to the Program
• Communicates with instructors on information for test questions and course content
• Assists with the scheduling and coordinating of the Behavioral Health Tract, Grant related work, and culminating semester.
• Assist students with registering for courses and dropping/changing courses, Orientation and Graduation
Records Maintenance
• Student Files – prospective, incoming and current students
• Test files – ExamSoft ®
• Establishes and maintains filing system for all program correspondence
• Maintains updated contact information and database
Typing and Filing
• Correspondence
• Examinations
• Filing
Communications
• Compose and edit content for approved social media outlets
• Coordinate with external relations and communications departments about advertising
• Coordination of alumni efforts with assigned faculty members. Composing and drafting program newsletters.
Answer Telephones
• Responds to inquiries in a timely fashion
• Fields all phone requests, records and delivers messages

Mail
• Prepares and sends out Program related Financial Aid and Health Immunization packets
• Prepares and sends out Orientation packets and Graduation materials
• Posts outgoing mailings

Required Qualifications

• Participating in the admissions process including application review, interview scheduling, and serving on the Admissions Committee
• Serving on the PA Academic Progress Committee
• Participating in open houses both at the PA program and at other institutions
• Participating in the self-study process and accreditation process
• Performs special projects and assignments as requested
• Assists administrative assistant team members when requested
• Attends faculty meetings, retreats, training sessions, orientation, graduation when requested
• Proctors examinations

Preferred Qualifications

Travel
• Local travel as necessary
