Job Description

The Student Coordinator will report directly to the Director of Clinical Rotations. He/She will maintain the student clinical rotations schedules, forms and grades. The Student Coordinator will be responsible for collecting and processing the clinical rotations forms, the grades, and the data necessary to maintain the third and fourth year clinical rotation student files.

Job Duties

Assist in administrative processes for department to include, but not limited to the following:

• Receive, sort and distribute mail
• Assist in coordinating, accumulating, and entering data relating to the Clinical Rotations.
• Collect each student’s credentialing information. As the documents are received, a credentialing file will be compiled and scanned in for each student.
• Assure that all students have been notified of their rotations schedules and orientation credentialing documents.
• Assure that all matters reported from the clinical rotations hospitals are communicated to the Clinical Dean.
• Maintain communications with the affiliated rotation hospitals student coordinators.
• Collect and organize the clinical rotations documents forms including:
• Affiliations with Clinical Rotation Hospitals.
• Clinical Clerkship Faculty Evaluation of Students Form.
• Processing elective request forms and elective certification forms
• Change in rotation request forms
• Graduation verification letters
• Review invoices from hospital and preceptors.
• Other duties as assigned.

Required Qualifications

Student-related duties:
• As the documents are received, a monthly clinical rotation package will be compiled for each student
• Evaluations are to be submitted to the Clinical Dean for grading and review.
• All the grades from the Clinical Dean are entered.
• All credentialing documents are scanned into the Clinical Rotations program and available for student review.
• An updated grades log is maintained for review by the Clinical Dean as necessary.
• Each month, the hospitals that have not submitted Clinical Clerkship Student Evaluations will be sent an email notifying them that there will be a delay in the payment of their student fees due to their tardiness.
• Students who have missing documents will be sent an email notifying them of the pending documents. They will be alerted that they will receive an incomplete if the documents are not submitted to the Office of the Clinical Dean.
• Faculty Evaluations of Students (Student Evaluation of Clinical Clerkship) will be monitored for exceptional and/or poor student performance, as well as exceptional absences. The clinical Dean will immediately be alerted as to these findings.
• The Student Coordinator must work within the team environment.
• Other duties as assigned

Education, Preparation, and Training
 Some college training preferred or related administrative experience.

Skills
 Strong analytical skills.
Computer Skills
 Proficiency in Microsoft Office Suite including Word, Excel, Power Point, Outlook
